Updating Data in PackBuilder
When validations are received too close to picture day, it necessitates updating the TNJ at the branch level. To do this, you'll first need to clean up the Excel data file you receive.
3-digit grade - The grades must be 3-digits before importing into the TNJ
Highlight the Grade column
Right-click and select Format Cells
Category is Custom, type in 000, click OK
Last Name and First Name Separate
Highlight the Name column; ensure there are blank columns to the right for results
Click Data menu and then Text to Columns
The Wizard will pop up, select Delimited as the file type and click Next
Select Comma and Space as your delimiters and click Next
Select General as the column data format and click Finish
Scroll through the results and manually clean up any students that had two last or first names
Background
Use a blank column to add the background STU to all records
Validation
Use a blank column to add the correct validation, fill to all the records (i.e. ASB)
ASB Validation Update
Import Validations File to TNJ
Save your edited file as a csv with a recognizable filename into the same location as your job folders
Open the TNJ with Packbuilder in Details Mode and click All above the folders on the left
Select Subjects menu and click on Import Text File…
Click on Setup in bottom left corner
Type: Delimited by “,” (Check Ignore first line if you’ve kept a header row)
Field map: type in the corresponding column number to the values for Lastname, Firstname, Grade, Student_ID, and ASBV (eg column A is 1, column B is 2, etc)
Search with: is Student_ID (always!)
Check Only replace existing fields if blank so that you don’t overwrite data that was provided to the lab previously - you are only updating not replacing information
After ensuring Setup is correct, select your saved edited csv file and click Open
VERIFY that final result appears with correct info!
Sort by ASB and verify the number of ASB matches the number of records in the original Excel file
Clean up Packbuilder TNJ by dragging any new records into their appropriate folders and using Edit > Change Field Case for upper-lower, etc.
Save > Close > Proceed with making your job files for the shoot
