Using the AutoCleaner
AUTOCLEANER DOCUMENTATION
EXPLORING THE HELP WINDOW
The AutoCleaner comes with built in key bindings for the Macros included in the package
There is a list of these key bindings with explanations in the Help Window of the AutoCleaner
This help window can be accessed using the preloaded key binding in Excel: CTRL + Shift + H
By clicking the "AutoCleaner Features" button in the Help window, you have access to a list of processes included in the main AutoCleaner program
It is recommended that you read and understand this list before using the AutoCleaner
Click on the "Let us know!" text in either the Help Window or the AutoCleaner Features to be redirected to the "Bug Report" Google Form.
Report any bug you encounter as soon as possible, as reporting bugs increases the fidelity of the AutoCleaner
RUNNING THE AUTOCLEANER
This data file contains the following errors:
The headers are wrong
The teachers have prefixes in the same cell as their last name
Grades do not follow the proper format
2 emails are in the email field
To clean this file and get it ready for upload, simply run the AutoCleaner using the key binding (Ctrl + Shift + E)
Once you have started the AutoCleaner, enter in the pertinent information needed for the program to execute as designed
1. The school code
2. The picture day type
3. The date using either dd-mm-yyyy or dd/mm/yyyy
Next, take note of the “Data Set Details” box on the right hand side
This will give you a summary of the file that you are cleaning
Make sure to compare population with Salesforce, verify that all needed fields are included, and verify grades
** You also can find and replace Teacher names and grades, or fix headers by double-clicking a value in the list boxes on this screen **
After double-clicking a value in one of the list boxes, this screen will pop up. You want to make sure that you have the value you selected in the "Current Value" box. If this box is blank (happens sometimes) you will need to close this dialogue box and double click the value you want to change again.
If the value populates correctly like in the example to the left, all you have to do is write the corrected value in the "Desired Value" box. Once you have done that, hit "GO!" and your values will be fixed.
Once you have entered the required information (Job ID, Picture Day Type, and Picture Date) you are now ready to run the rest of the AutoCleaner program!
Hit “Enter” on your keyboard or click “Go!” in the bottom left corner
As we can see, the AutoCleaner has taken this data file and made the necessary changes for it be uploaded to the Timestone software

With the information we provided on the front page of the AutoCleaner, the program has populated the Account, and Picture Day fields, which are necessary components for our marketing department
The headers have been corrected to the format that is accepted by Timestone.
The background field has been added & populated
The data has been sorted by the Teacher column. This allows for the user to quickly scan the teachers and find any discrepancies.
A copy of the original document has been placed into a new sheet within the same file to allow comparisons if needed
The AutoCleaner does very little to the formatting of the names in the Teacher column
While the AutoCleaner will remove prefixes from the column, it will not format the names to upload into Timestone correctly
Because teacher names are sent in a wide variety of formats, it is more efficient to have a human verify they are formatted correctly
After running the AutoCleaner, make sure that the Teacher names are in a format acceptable to Timestone
While the AutoCleaner does the vast majority of cleaning and formatting changes, it is not perfect
Though many of these issues can/will be fixed over time through updates, make sure to scan the file for a final quality control check
