SERVICE ITEMS
OVERVIEW
Service items are products we provide to accounts as part of our photography contract. They fall into one of the following categories:
Print Service Items; UPS
Digital Service Items; UDS
Specialty Service Items; USS
Activity Service Items; ACT
Group Service Items; UGS
Promotional Service Items: PRO
Senior Service Items; UVS
Graduation Service Items; UAS
A work order is printed for each job when it's checked into the lab. The work order will list all service items to be created from those images. It is therefore very important to make sure you are selecting from the correct product family when creating a service item. An 8x10 ACT service item will not show on the work order for a UG job.
The default background for print and digital service items is blue. If another color is desired, that needs to be indicated in the Green BKGD Screen Selection field within the service item.
PRINT SERVICE ITEMS
Product Code: UPS
Print service items are any product linked to a UG picture day. Typically, these are offered at no charge but there may occasionally be a cost to the school.
Below are some of the most common print service items.
Pic Directory
A directory of images taken on picture day that can be sorted a number of ways (teacher, grade, straight alpha)
Can be small (49 pictures to a page) or large (36 pictures on a page)
Prints double-sided on regular paper but can be requested as single-sided
Can include a barcode of the student ID number
Can be printed after each picture day or consolidated with another picture day (i.e. make-up or retake day)
If consolidated to make-up day, a separate item in Salesforce for retake day is needed
Pic Sticker
36 stickers on a page (1.25 x 1.625)
Can have 1-6 stickers of each image
Can be printed after each picture day or consolidated with another picture day (i.e. make-up or retake day)

3x5, 5x7, or 8x10 prints
Typically these are produced from staff images for display in the school
Can include a border, name, or position
Can be in color or black & white
Can be printed after each picture day or consolidated with another picture day (i.e. make-up or retake day)

Mosaic
A poster that uses picture day images to create a mosaic pattern for display in the school
Typically produced after retake day (production starts in January)
Design is universal and changes yearly. Custom designs can be produced by request.
Are printed on either photo paper or Adhesive Vinyl
Sizes are 12x18, 20x24, 20x30, or 24x36
DIGITAL SERVICE ITEMS
Product Code: UDS
Digital service items are electronic image files produced after a picture day. The images are formatted to the specifications of the intended program or use.
Files are placed into a secure Dorian portal. See example below.
Below are some of most common digital service items, but there are over 100 options in Salesforce.
School Information Systems: PowerSchool, Infinite Campus, Skyward, Synergy
Library Systems: Follett, Destiny
Cafeteria Systems: Mealtime, MealTracker, eTrition
Yearbook: PSPA for upload into yearbook software
Images & Data to print awards/ID cards (aka SchoolPix)
Custom LNFN
Images are named "last name, first name"
Can be foldered by grade or teacher
Typically limited to staff for use in emails & on websites
SPECIALTY SERVICE ITEMS
Product Code: USS
Specialty service items are products not linked to a picture day. Typically, these are produced in the months leading up to fall and are shipped to arrive for the start of school. Quantities should be reviewed yearly to avoid unnecessary waste if a product is no longer being used.
Below are some of the most common items.
Bookmarks; 1 per student is typical
Post Cards
Great News, Happy Birthday, Etc.
Can be blank on the back or include backprint for mailing
1 per student is typical
Certificates
Perfect Attendance, Honor Roll, Achievement, Etc.
Quantity will vary based on the type
Specialty Badges
This is a non-pictured generic badge
The lab creates a design each year and shares with the studios
The studio prints the appropriate types & quantities and delivers to the school
The type of badge is typed in by the studio before printing; i.e. "Volunteer", "Office Aide", "Hall Pass"
Badges are hole-punched and include a clip, clear lanyard, or black cloth lanyard
Visitor Stickers
Default is Stickers - VISITOR (48-UP circle), but there are other sizes available
Quantity depends on the size of the school
ACTIVITY SERVICE ITEMS
Product Code: ACT
Titled
NO Title
Activity service items are products linked to an activity job; sports, clubs, etc.
Prints are either titled, or not titled.
They can be sized as 20x30, 12x18, 11x14, 8x10, 5x7
A typical HS would get a large titled print (11x14 and up) for display in the school, and a small untitled print for each of the coaches (5x7 or 8x10)
A typical league would get a 5x7 print for each of the coaches
Team images for the yearbook are shared with the school at the studio level
READ Posters
READ posters are an ACT service item, but typically taken on a UG picture day
Staff pose with their favorite book and a print is made for display in the school
Posters using the template shown to the left are 8x10, 12x18, and 16x20
Posters can include the staff name, if desired
Plain prints (no litho, no name), can be printed as 5x7 or 8x10
GROUP SERVICE ITEMS
Product Code: UGS
Group service items are products linked to a group job or UG for composite boards
Undergraduate/Class Group
Undergraduate/Composite
Class Group/Personality
Class Group only
This can include club days, music programs, etc if the job type is "Class Group"
Composite Board
Common sizes are 11x14, 16x20, 20x30, and 30x40
Typically uses staff or senior images
A proof is created after retake day and uploaded to ProofHQ
The picture day coordinator receives a link to view & request changes to the proof
If a frame is desired, that is handled by the studio
Group Print
Common sizes are 16x20, and 20x30
Each staff member in the group automatically receives an 8x10
Can be plain, with litho, with litho & names
If a frame is desired, that is handled by the studio
Class Group Image File
Sent via the portal to picture day coordinator by the class group/composite department
Can retouched images (no litho or names), or the finished groups with litho & names
PROMOTIONAL SERVICE ITEMS
Product Code: PRO
Promotional service items are Dorian Studio calendars
The same design is used company-wide
They come in booklet size & desk size
Typically, each school receives 2-3 desk size and 4-5 booklet size complimentary
Each studio orders a number of extras for additional requests

Cap & Gown Electronic Transfer
Individual images are sent electronically for use in end-of-year slide shows
Green screen background must be selected
Cap & Gown image file workflow:
Work orders are printed once the job checks in
If an Export Service Item is assigned, Liz tags Rhyann on the Trello card
Rhyann creates the file once the job has completed the Image Prep column
SENIOR SERVICE ITEMS
Product Code: UVS
There are only 2 service items specific to senior jobs
Custom LNFN images - Seniors

If you would like SEN images incorporated into UG service items, make sure the box is checked within the SEN section
REMAKES & NEW REQUESTS
Print Service Items
Complete the UPS/UDS/USS Service Item Request Form
The deadline should be 10 days unless there's a more urgent need
Update the existing or create a new service item in Salesforce; whichever is applicable
Specialty Service Items
Add the service item to Salesforce if the product will be produced yearly going forward
Complete the UPS/UDS/USS Service Item Request Form
Promotional Service Items
If a school requests additional calendars, you will need to send that request to your branch manager
Once the branch has run out of extras, there are no more. The lab does not print onesie-twosie calendar orders.
Digital Service Items
Digital service items are sent via Dorian portal; a secure transfer site. Sometimes, these emails (sent by sportal@dorianstudio.com) can be caught in a district's bulk mail or spam folders because they are auto-generated and appear to be phishing. They are sent to the contact listed in Salesforce, which could be out-of-date.
If the file has already been created by the lab:
Provide the portal instructions to the contact. Files will remain in their portal for the entire school year.
If there is a new contact: Update the service item in Salesforce with the new recipient and use the Migrate feature in the portal to transfer files
Suggest they add "sportal@dorianstudio.com" to their contacts to prevent future issues
If this is a new request:
Complete the UPS/UDS/USS Service Item Request Form
The deadline should be 14 days unless there's a more urgent need
Update the existing or create a new service item in Salesforce; whichever is applicable
Activity Service Items
If the service item exists on the price sheet, you can place the remake online
Open the job in NeoPack
Find the access key for that team
Go to mydorian.com and place the order
If the service item does not exist on the price sheet, fill out the ACT Orders: Service Items & Buddy Pics form
If there is a single data correction, create a case in Salesforce and assign to the Data Correction queue with instructions on what to fix and what to print
