SCHEDULING DATES

The ideal picture day is no sooner than the 2nd week of games, but at least 4 weeks prior to the end of the season. This allows player registration to solidify, uniforms and picture packets to be handed out prior to picture day, and ensures that the league receives the finished product before the season ends.

STAFFING

4 games per hour = 8 teams per hour = 2 photographers

Ask the league for their game schedule for the day; you'll need to know the start and end time for the day and how many teams there are per hour
Plan for one photographer per team for every fifteen minutes
There should be at least one extra person available as cashier for shoots that:
- Photograph faster than a team every 15 minutes
- Require a third photographer
- Leagues that we know haven’t communicated well with parents or distributed packets

PICTURE DAY SCHEDULE

If the league isn't able or willing to provide a picture day schedule:
- For smaller events, have the league request that their teams arrive one hour before or after their game.
- For larger events, Pick-a-time can be used
  - Links should be distributed to coaches at least two weeks prior to picture day.
  - Reports can be sent to the manager or head photographer’s inbox at regular intervals to track sign-ups and adjust staffing as needed.
  - The Dorian Office Manager can set up the Pick-a-time

SALESFORCE, ENVELOPES & DATA

Leagues are entered in salesforce just like a school account. Under the "Type" be sure to select League. There’s typically only one contact that you’ll work with to schedule dates and acquire contact information.
The lab will need to know where to send packets and if printed items are coming back to the league in bulk or being sent directly to the coaches.
Team rosters need to be requested from the league two weeks prior to picture day.

- Teacher = Team name
- If you have a team name that is duplicated please add "_coach last name" after the team name
- Example: Blazers_Smith and Blazers_Johnson
- Background = type in this field either Coach or Player
- Grade = Division (age brackets)
- Account = League
- Room = Sport
- Period - Jersey Color
- Validation3 = Sponsors (for specialty print items like plaques)

MARKETING

Online ordering is the same as UG photos. Players can preorder online by searching for the league name at mydorian.com
Envelopes are also sent to the league in advance of picture day so coaches can distribute to players a week prior
Late Ordering - All players who were photographed, but did not pre-order will receive a second chance card when prints are returned to coaches in 2-3 weeks.
- - Will include their unique access key to view the image online and place an order
  - Late orders are shipped directly to the parent’s address for an additional $7 shipping/handling fee

Email Responses - If the league is willing to share parent contact info, we have a much better chance of getting ordering information in front of parents compared to using printed picture packets alone.
The lab also wants player information (coaches and team rosters) prior to picture day to streamline package distribution and online order setup
