Cover Submission

The cover must be approved and submitted by the school advisor by the cover deadline, typically this lands in December. The Approving and Submitting Your Cover PDF document gives step-by-step instructions for completing this process. 


It’s important to encourage advisors to do one last check to make sure there are no mistakes before completing the submission process. Once a cover is submitted, there will be a $100 unlock fee to pull it out of the production lineup. When a cover has been fully submitted, you will see a big green checkmark in Pictavo.

Page Submission

While Dorian Studio is happy to assist with the proofing, creation, and design of the yearbook, it is ultimately the school's responsibility to make sure that everything is correct. Before submission, books must be proofed by the school adviser and ready for production. 


Any mistakes found in the yearbook after submission will cause a delay in the production process. If one is found, there will be a fee for unlocking the yearbook to correct the mistake after submission. Each page unlocked for a correction is $15 maxing out at $100 for a full book unlock. 


As part of the submission process, school advisers will need to finalize the yearbook order. This is their last chance to change the number of yearbooks being ordered. The minimum order is 150 copies. Changing the quantity will also affect the overall cost per book.

Delivery

Dorian

Most Dorian published books will be sent in bulk to the branch which will then set up delivery plans with their schools. As the year progresses, the printing department will provide the branch with an expected delivery date so that the Yearbook Specialists can plan accordingly.

Remember to send out the final invoice before setting up delivery expectations. All yearbooks must be paid in full by the date the books are delivered. There are exceptions to this rule, but a conversation needs to be had between the Yearbook Specialist and School Adviser and a payment plan needs to be set.


Walter’s

Most Walter’s published books will be delivered directly to the school. Production will be in touch early spring to confirm shipping plans. Even if the book is going directly to the school, the Yearbook Specialist needs to stay in communication with the school regarding the expected delivery date and final invoice. Once Walter’s ships the book, a tracking number will be sent to the Specialist. A good practice is to pad the delivery date and not share the tracking number with the school. It is easier to have the Adviser happy that the books arrived “early” than have them be annoyed that the delivery was “late” because of an unexpected delay.


Walter’s published books can be delivered to the branch office if needed. This is recommended for schools that are notoriously late on their payment.
