Portrait Proof Packets - What to do with them?
Once the portrait proof packets have been returned to Dorian from the school, the requested changes and edits need to be made.
Make the edits the school has provided on the pages. Use a highlighter to mark every correction made, and initial the top of the page when it’s complete:
Correct name spelling.
Change names to any indicated nicknames.
Move students who have been requested to move to or from other classes.
Create a placeholder for any students that do not have a photograph OR create a Not Pictured list depending on the school’s preference.
Remove indicated students that should not appear in the yearbook.
When removing students who will NOT appear in the yearbook. Please create and place them in the appropriate folders. This process will organize the photos so when the school is proofing and submitting their yearbook there will be no questions as to why those students do not appear on a page.
Removed by Request - Teacher or staff member has indicated the student needs to be removed.
No Photo Release - The school has given you a list of students who do not have permission to appear in the yearbook
Duplicate Image - The student has two images and this is the image that will not appear on the page.
Teachers Flown on Class Page - This is for schools that do not want the homeroom teachers to appear on the staff page.
Make notes on the front of the packet for:
Missing class pages
Notes that didn’t make sense
Any questions to ask the school
Handoff to a second person to double-check that all of the corrections were made and none were missed.
Final Proof
At this point the book should be done. This proofing stage is where we get into the nitty gritty.
Layout
Below are some things to watch out for as you proof a book layout.
Missing backgrounds
Graphic elements covering faces, text, etc.
Panel Pages
Below are some things to watch out for as you proof panel pages.
Missing images
Duplicate images
Duplicate names
Student or staff portraits out of order
Misspelled names
Inconsistent punctuation following prefixes
Panel flow going off the page
Empty text boxes
New or missing students floating outside the panel flow
Candid Pages
Below are some things to watch out for as you proof candid pages.
Missing images
Candids with inappropriate hand signs
Low-resolution images
Empty text boxes
Mirrored Images
Mirrored images occur when a photo box has been flipped. This can happen when templates or snippets are reflected onto another page. The easiest way to identify these is to look at text within the photo to see if it reads correctly.
