Welcome aboard the team of Dorian Yearbook Specialists. Building a yearbook is a labor of love. We want to provide schools with intuitive technology, streamlined processes, and unparalleled resources. We are a creative group of designers who strive to create positive experiences and lasting relationships with the communities we serve.

As a Dorian Yearbook Specialist, your main responsibility is to provide support for accounts. We customize the services we offer based on each school’s specific needs. Some of your responsibilities will include:

PRODUCTION TRACKING
We use the YBK Design Trello Board to track important specs and dates. This board is your go-to for keeping track of everything going on. It is designed to track your books from start to finish. As the year proceeds you will move the school's card along each column to know how much work is left to finish the project. Remember that this board is used across the branches and the lab, so we want to make sure we stay consistent.
Update it daily
If you need a bird's eye view of where your books are, you can continue using the YBK Production spreadsheet located below. This is optional; however, the Trello Board is mandatory.
SALESFORCE
In order to stay organized, we use Salesforce to keep track of every aspect of a yearbook. Each account has a yearbook section that logs the history we’ve had with the school. You will either add a yearbook to register a new book, or you will clone a previous year's book to register for the current school year.
Once the book has been added to SF, there will be two sections to fill out. Yearbook Detail describes the general setup of the book: production, contact, deadline details. Every book needs to have this area filled out.
External Published Yearbook Details is for Walter's published books only. It contains more detailed fields that deal with customization and enhancements.
PLEASE NOTE: The List Price needs to match the Price Matrix or quote given, the Bill Price is what we will be charging the school.
When an account makes a change to their yearbook specs, it must be recorded here. Production and accounting use this section to finalize items on their end so the yearbook specialists must make sure this is up to date at all times.
NEW Books: A PSPA-Large needs to be added to the Service Items area of SF with a Delivery Method of Pictavo. This notifies production to upload the school portraits once retake days have been processed.
DORIAN PUBLISHED
We have the ability to print yearbooks in-house. We still use Pictavo; however, there is a different pricing structure, spec limitations, enhancement add-ons, and correction fees. All Dorian published books must be an elementary or K-8 school.
Pricing
Please use the appropriate Pricing Matrix from the choices below to quote pricing for Dorian books when signing on a new book oradjusting the specs of an old book. This is for Dorian Yearbook Specialist use only.
Book Quantity: Book prices are in 50 book increments. As the quantity goes up, the next price point changes after 50 additional books are ordered. The school does NOT have to order in increments of 50, but the price may change as the count supersedes the last count.
Page Count: Page count can be in increments of 4. The pricing matrix is in increments of 8 pages, but you can do the math if schools want in between page counts.
Binding
Saddle Stapled: No minimum pg count - 68 pg maximum
Square Back: 48 minimum pg count - 72 max (additional $0.30 per book)
Perfect Bound: 72 minimum pg count - no max (68 minimum pg count in some circumstances)

Cover Personalization
Schools can choose to add personalization to their book’s cover. We have two options for production:
Sticker Option (Preferred): The name or name/photo can be printed off as a high-quality sticker that the school can then add to the book’s cover before passing them out. The list does not need to be given to the lab until the book is submitted. Price: $25 flat fee to print off every student's name/picture.
Direct Print Option (Limited Availability): The name or name/photo can be directly printed onto the cover. Sales for this need to be done prior to the cover being submitted so that production has the information on file. Name OR Name/Photo Price: please contact production for a quote.

WALTER'S PUBLISHED
Any secondary school book will be printed through Walter’s. They will also do any primary books that are too large to be printed in-house.

Walter’s Yearbook Pricing: Existing yearbook accounts will be listed here with the previous year’s pricing, the percentage increase, and the calculated pricing for this year. Use this to create any yearbook agreements that need to be renewed.

Enhancements
We offer a variety of customization options for Walter’s published books. The price range per enhancement is listed out as our Whole Sale cost (what we get charged) and our Bill Price (what we charge the school). Please talk with production to request a quote, these vary depending on which enhancement is wanted.
Cover Quotes
The quoting process for cover enhancements is based on selected enhancement(s), size of cover application, detailing of design and yearbook quantity. Once a design is created the design is sent to the graphics team for an estimate. A Dorian yearbook representative should never “ballpark” or quote cover costs in person. All quotes need to be approved by Jake before sending to the school adviser.
Cover Thickness
The standard weight for a hardback cover is 100pt, a school can upgrade to 120pt or 160pt.
Cover Type
The standard high gloss litho, a school can upgrade to leatherette.

Yearbook Upload Request_Spring 2023Spring Upload Requests
We service photography jobs that will also be used in the yearbook: sport teams, class groups, etc. For product consistency we want the quality of the yearbook image to match the version that the parents purchase. To do this, production will reference a spreadsheet that tells them which yearbook needs what final images uploaded. Here is the typical timeline:
December: an SF report is ran and converted into Google Sheets. This report will include any activity job that has been scheduled with any active yearbook school.
January: Production will reference this list and upload the final job images to the correct book after the lab makes corrections.
It is up to the yearbook specialist to add any new job to the spreadsheet as they are scheduled, or remove a job if it is not necessary.

DEMO PSPAs
Every branch has their own demo book in the Pictavo program. You can use this book to record a demonstration or create user accounts for anyone that is interested in joining us but want to test the program out. Depending on your needs, you may need to swap out the demo PSPA between grade alpha and teacher alpha. You can find either of those PSPAs in the below folder.
