YAMM
Yet Another Mail Merge is an automated way to send out emails to the picture day contact of our schools. Emails come from the Office Manager and are personalized, have consistent messaging, can include attachments, and are easily trackable (opened, responded, or bounced).

Picture Day Confirmations
Events in the calendar noted with a date and YAMM in the confirmation section means that the OM has sent out an email to the picture day contact to confirm the details of picture day.
Confirmation specialists will still need to monitor the event in case a response is not received.
For schools that respond to the YAMM, the OM or confirmation specialist will check that all the details have been confirmed. In the "confirmation" section at the bottom of the calendar event type "Confirmed YAMM" followed by the date and your initials.
YAMM HOW-TO
Download the extension YAMM to your Google Workplaces
Create a spreadsheet named Branch_YAMM
Use one spreadsheet with separate tabs for each campaign
Data requests, Picture Day Details, Welcome Back Email, etc
This spreadsheet will be used year over year
Add columns for each piece of data you are including
Picture day coordinator name, picture day coordinator email, picture date, etc.
The headers in your spreadsheet must match the 'draft' email in order to pull the information in
A master data upload Google sheet is created by Noah & Laura and added to each branch's YAMM sheet at the start of each school year
This will include all branches, all picture day information, and all relevant contacts
Double check information is correct with the calendar
Create the corresponding email and leave it in your DRAFTS.
You will need one email for each campaign
Fall Original Day, Fall Original Day with Groups, Fall Retake Day
Star the drafts
Attachments (i.e. Picture Day Reminders) that are not unique to the school can attached to the draft
Attachments that are unique should be sent as a link, with that appearing as a column in the spreadsheet
When you are ready to send an email, select Start Mail Merge under Extensions in the google spreadsheet under Yet Another Mail Merge
Hide all rows except those you will be emailing
Lines that have a Merge Status won't be included
Sender Name should be your name
Select the appropriate Email Template from your drafts
Check the option box track emails opened, clicked, or bounced
Select the + sign next to Alias, filters, personalized attachments
Choose the email address to send the email from
This may be different than the Sender Name on the previous screen
Add a Reply-to address if applicable
Click the back button to return to the previous screen
Send yourself a test email
Once you've verified the email looks as it should, select Send Email or you can schedule it for later
The Merge Status"column will keep track of the emails that have been sent, opened, clicked, or responded
The YAMM program automatically creates a label in your email for each campaign
By clicking the label, you are able to see the emails sent for each campaign
SENDING A YAMM FROM A DELEGATED ACCOUNT
From within the OMs email, navigate to All Settings
Navigate to the Accounts tab
Under the Send mail as section, click on the Add another email address button
A pop-up window will appear. Type the office assistant's name, email address, and make sure treat as an alias is checked.
Click Next Step
Click Send Verification
Office assistant will receive an email containing a code. Have the OM enter that code into the prompted window.
Office Assistant will now show up as an option to send a YAMM from their inbox
