High School Graduations
OVERVIEW
High School graduation ceremonies can be organized a number of ways:
INTRODUCING WALDO
Introducing Waldo! We’re excited to team up with Waldo Photos for our Graduations. Through Waldo, we’ll be able to communicate to our families about our graduation photos, match our images to the student data through facial recognition software, host the photos through online galleries, follow up on post sales and then finally wrap up the process by printing and shipping packages ordered.
Data Matching ~ Facial Recognition!
Through the registration process, families are asked to upload a selfie of their soon-to-be graduate. This photo will help identify the graduation ceremony photos through facial recognition software.
All branches should plan on using the Waldo process for their graduations UNLESS there are worries your graduation may have a lot of sunglasses or celebratory swag that could affect Waldo's facial recognition software.
If Waldo's facial recognition software isn't going to be successful for your upcoming graduation, you'll need to process the job like we've always done in the past, and match the data in the TNJ in CapturePost described below.
Please let your Office Manager know if you have any graduations that will need Dorian job processing rather than Waldo immediately.
Online galleries for Waldo and Dorian are set up weeks prior to the ceremony and will need to be addressed as soon as possible.
Be sure to always grab a walking list and have access to the live stream video of the graduation ceremony - JUST IN CASE!

Now that we're using a software that recognizes faces, let's take more pictures of faces. Families will be able to view/purchase candid photos we take in addition to the posed shots Have fun and grab some great candid shots!

SUBMITTING JOB - WALDO
*IMPORTANT* The first thing you always do after a graduation is back up all images to your branche's local server!
All jobs must be turned in on the same day or by 9:00am the following day.
Open the SEN and Graduation Jobs shared folder on Drive. It has been shared with branch workgroups, branch managers, and check-in.
Find the folder with the date of your Graduation. If one doesn't exist, create it.
Subfolder all your images under the main event folder named: SCODE_SchoolName_Date

Please include a League & Graduations Form to turn into HR & Green.
Finally, an email MUST be sent to check-in@dorianstudio.com with all normal job sack information once images have been loaded. This includes a PDF or JPEG of the Job Cover Sheet. While the lab will be checking daily, this email is still required to prevent delays and/or missed instructions.

3. Check:

Matching Images in CapturePost
For KGRAD, 5th or 8th grade promotion, we should be able to match images in CapturePost. and use camera cards or search for names to match
For HS graduations, if we are able to photograph seniors before they walk on stage, we can look up and match names as we go
When we aren't able to match images on site, we need to keep track of student names in the EXACT SAME order they are photographed. There are a number of ways to accomplish this:
Senior Walking List - Before the ceremony, confirm with the school’s graduation contact that the walking list is as up to date as possible. If any students aren’t participating in the ceremony, yet are listed on the walking list, it can set us off on matching names for the entire ceremony.
Access to the Live Stream Video - Ask whether or not the school is recording the ceremony. If they are, ask for access or a copy. If the school isn’t recording, then each office should have their own video camcorder to record the ceremony.
Pro tip: Don’t hit record on your camcorder until right before students' names are being called to walk across the stage. This ensures your battery doesn’t die before you record the part you need.
Graduation Program - The program keeps us on schedule with the ceremony proceedings.
Note Cards - Ask to provide the school with notecards that they will pass out to students. Have the students write their name, and turn them into the Name Reader at the podium right before they walk across the stage. The Name Reader will collect the Student Name notecards and keep them in order. Explain to the Name Reader how important it is to keep these cards in order.
Provide a box to put the note cards in, so that we can take them with us at the end of the ceremony for safe keeping. We can then use these cards to match names once back to the office.
Helpers - If staffing is available, schedule a helper to assist the photographer. The helper can match images as they are announced. Be careful with this method though, if ONE student gets out of line or they get behind with calling names, a mix-up can make for a long mess to fix later. Always have a matching backup plan.
THE IMPORTANCE OF A FAST TURNAROUND
Time is of the essence when it comes to turning the job into the lab. The more time that goes on after the graduation ceremony, the more parents lose the urgency to purchase. The longer the lab waits on the job, the longer it will take to upload photos online to proof out to parents. If done quickly and successfully, parents can see their student’s proofs in their email as quickly as 4 days.
