PERSONALITY PORTRAIT PROCESS
Only students that have placed an order (either online or via envelope) are photographed
PP Plus CG
Schedule
Have the schedule open on your computer or phone
As classes come down, highlight the row in yellow
This allows the office to monitor our progress, as well as your office/branch manager
Before photographing anyone your first image should be a photo of the job
Take CG photos first and then PP photos
Have helpers collect group ONLY envelopes (careful of a la carte items)
Have kids hold onto any envelope requiring a personality portrait during CG photo
Ask anyone holding an envelope to head to the PP photographer after the group photo
Call out anyone from the online order report with a Personality picture to get a photograph taken.
All envelopes must get scanned in including group only. Scan all of the group only envelopes on one PP Unit.
Personality Only
Schedule
Personality only jobs won't have a schedule on Drive unless we have been asked to photograph the entire population
Parent helpers or office staff will call each class down, typically in order by grade
Personality only events will not have a schedule on Drive. Parent helpers will visit each classroom and escort students
Look up student information by Last Name in CapturePost
Make sure the teacher and grade match as well.
Call the student by name to make sure you have the correct card
Scan their envelope - Keep envelopes in order
Take their picture - make sure you have a good one
Hit Ctrl+S
Slate approximately every 50 frames. This makes it easy to locate/fix any mistakes.
HANDWRITTEN CAMERA CARDS
Hit Ctrl+N to create a new subject file
Select the correct folder for the student
Enter student’s Last Name, First Name, Student ID, and Grade (possible others: sort, teacher, etc.)
Select the correct folder
Select Slate folder for Slates
Select ZNA folder for Duplicates
Use preloaded data for the first order then hit Ctrl+N and select the ZNA folder for the second order
SCANNING PERSONALITY ENVELOPES
For CG/PP shoots, scan all envelopes into PP TNJ
Keep the envelopes in order
Set the lookup on the computer to [name]
Always verify student by teacher name as well
Scan PP envelopes when students get their individual photo taken
Scan CG envelopes while waiting for the next class to arrive or during a break in the schedule
ONLINE ORDER REPORTS
Photographers check the Online Order Report as each class comes down to see who needs an individual photo.
The lab starts pulling reports at 7:00 am PST and uploads to each branch's Online Order Report Drive folder as a Google Sheet.
MST branch reports are pulled first followed by the other branches alphabetically
This process takes about 45 minutes to complete for all shoots across all branches
The data is grouped by teacher and organized alphabetically and includes: student name, teacher and package ordered
Online Ordering closes at 9:00 am (Time Zone Specific) and a 2nd report is pulled with remaining orders starting at 9:00am PST.
The second list will be added to the first list by your Office Manager and labeled Late in the far left column. If this has not been completed by 10:00am PST, reach out to your OM.
Photographers highlight students in yellow to indicate who has taken an individual photo
At the end of the day, photographers must add notes for any students who missed their individual photos (i.e. absent)
Two-day shoots
FIRST DAY
Run initial morning report
At 9:00, the second report will be added by your OM and labeled late in the far left column
SECOND DAY
At 9:00am PST, the gallery will close
The OMs will add in any new orders and label "2nd Day" in the far left column
YEARBOOK PHOTOS
Use PP cropping guidelines for regular spring portraits.
As a benefit to schools who use Dorian to produce their yearbook, we will photograph students who are new since or missed fall picture day. Those images are considered "Yearbook Photos". All Yearbook Photos need to be noted on the Job Sack AND entered in the YbkImage field in the TNJ by scanning the YbkImage Barcode.
POSING
There are lots of different options for how to pose your subject for a Personality Portrait. Pick poses that suit the student's personality and compliment their outfit.
Holy shadow, Batman!
Perfect :')
Green Screen Shadows
Green screens should always appear evenly lit. This makes it easier for the software to get a clean pull. Watch out for shadows! Make necessary adjustments to eliminate areas that are too dark or too bright.
We can do better.
Awwww :)
Expressions
Take the time to get a great expression. Here are some things to try:
Ask them about their day
Give them a compliment
Have them say something fun like "Hippy Chicken!"
Eeep!
Darling :)
Posture
Watch their posture. They should look relaxed and comfortable. Have them bend their front knee with their weight on their back leg. Tell them to relax their shoulders. If all else fails, try a different pose!
Yikes!
Awesome job!
Leg Position
Make sure you don't see any space between your subject's legs. It's not very flattering and it makes it difficult for the lab to achieve a clean green screen pull. The first subject is turned too much.
Too much!
Just right!
Head Tilts
So close!
Looking dapper!
Attention to Detail
Make sure their outfits aren't distracting from their sweet faces. Look for:
Drawstrings
Missed buttons
Crooked bow ties & ties
Flipped collars
END OF DAY
Have the office do a last call. Keep one unit set up for 10-15 minutes after the announcement is made.
Always offer to set up again for a student or staff member if someone is missed, there is no retake day for spring pictures
End Slate
Ctrl + N
Label it like the beginning slate
Take a picture of the slate card
Save to the USB Drive
After saving your job and closing the TNJ, copy and paste your completed 1000 series folder from your desktop onto the thumb drive.
When it is done copying, open the TNJ job files from the thumb drive and run the Check Images Report on each 1000 series to ensure that all the files have transferred successfully.
Open the TNJ from the USB
Go to Report
Select Check Images
Hit "Safely Remove Hardware" to eject the thumb drive before unplugging from the laptop.
Drag folder to the Completed Jobs folder on the desktop.
Tear down equipment and make sure it's returned to its proper place.
Clean up shoot area
Check out at the office
Job Sack
Completely fill out with the correct start frames, finish frames, photographer names, cameras/USB #, and envelope counts.
If anything out of the ordinary happened, a note needs to be written in the “Notes” field. Alert your manager to any specifics you note.
Use names when referencing images
Report image issues
Note special requests
Describe problems that occurred On-site
Propose changes for next time
Turning in the job
Save a copy of the shoot on the studio server
Bundle envelopes in bundles of 25 and facing the same direction. Place in bag with copy of the Job Sack. This will be sent in 1st shipping box to Mr. Green.
In another bag, place the original Job Sack, USB drive and camera cards. This will be sent in a 2nd shipping box to the Lab.
For 2-day shoots, ship the envelopes or "Green" with a note indicating the Job ID#, school name and the shoot day (e.g. 1234206789, Washington Elem, Day 1 of 2).
For 2-day shoots, keep the Job files until the end of the final shoot day and follow normal turn-in procedures
