Updating Jobs in Timestone
The Dorian Ops data loader uses Student ID to determine unique subjects from one another
On occasion, ID#s can be incorrect in the initial data necessitating an update
When an updated file is dropped, the file name must state what needs to be updated to avoid creating duplicate records. For example:
"9-12-23 LAX 43892315648 ORG update student ID"
RUNNING STANDARD UPDATE
For updates other than student ID, search the Completed TNJ folder for the job that needs to be updated
Right click on the TNJ and copy the job ID
Open the copied Job ID in Timestone
Ensure that each record has an IDCUST as a quality control step. If duplicates are created during the update process, it will be easier to spot them.
Enter the job ID into Dorian Ops
Verify the padding and sorts are identical to what is on the work order/in the Timestone job
**If these are not correct, you could seriously affect the Timestone job**
Double check that everything in the file looks accurate
Verify that each has a unique IDCUST
UPDATING STUDENT ID IN TIMESTONE
If only one Student_ID column is in the updated file, ask the Office Manager to include the bad ID.
Make sure the bad ID is in the Student_ID field with the correct ID in a separate field. This field needs to use a header NOT already in use in the job.
For this example, Validation1 is Student ID. We are replacing the values in Validation1 with those in Room (the correct IDs).
Once values have been replaced, they cannot be undone. DOUBLE-CHECK before proceeding.
Using the populate fields function in Timestone, populate the field that needs the correct ID (Student_ID but in this example Validation1)
In Fixed Text enter @Room. This will allow you to pull a value from another field for that subject. Enter the column name EXACTLY as it appears in Timestone or it will replace your text with blank spaces.
Click the Overwrite all existing values button as there is already data in this field
**In this example I chose selected only because I did not want to change this for all subjects. This may or may not be the case when updating student IDs. It is likely that you would be updating the whole data set with new IDs but it could be certain people or Staff so pay attention to that. **
Once the correct IDs have moved into the correct position, delete the values from the temporary field
Use the populate fields function and delete any text in the Fixed text field in order to erase the data in the Room field.
Because the updated data is in the column already there is no need to overwrite, and to avoid editing everyone in the data set, choose Selected Only
The updated IDs are in the correct location, and there is no extra or irrelevant data in the data set.
Double-check that there are no errors
