ARRIVAL & START TIMES
Arrival Time
Arrival time is when you are to enter the building with your equipment. You will need to allow extra time to park and unload your vehicle.
Start Time
Start times will differ each day depending on a number of factors
When photographing staff before school starts, arrival time is 50 minutes prior
When photographing begins at the start of the school day, arrival time is 80 minutes prior
Scenario 1: Your picture day has staff scheduled to start at 8:00am but your students don't start until 8:30am. Your arrival time will be 7:10am. In this scenario, you will work together to set up one unit that's ready for staff by 8:00. The other photographers will continue to set up their units and be ready by 8:30.
Scenario 2: Your picture day has no staff photos scheduled prior to school starting and all students and staff start at 8:00am. Your arrival time will be 6:40am.
PICTURE DAY SCHEDULE
Review the Picture Day Schedule
Picture day schedules are typically a link to Google Sheets within the event. They can also be an attachment, or typed into the event.
Review the schedule at least one day prior and notify your manager if you see any issues
Reach out to your Office Manager if clarification is needed
Elementary Schools
First class to come down 10-15 minutes after the morning bell
1 unit = 20 minutes per class
2 units = 15 minutes for the 1st hour then 10 minutes for the rest of the day
3 units = 10 minutes for the 1st hour then 8 minutes for the rest of the day
Secondary Schools - School Day
Typically will follow the bell schedule
Students typically come down out of a particular class (English, PE, etc)
Verify in the morning that classes will come down staggered throughout the period
Secondary Schools - Registration Day
Typically do not follow a schedule
Students may attend according to their grade, or alphabetically by last name

Transferring Your Thousand Series to the Desktop
Transfer the Job onto desktop from the USB
Open the StartingData folder
Select the correct 1000 series
Drag you 1000 series to the Current Job section of your desktop
Eject USB safely
Open TNJ inside the 1000 series folder

Open Devices from the Start menu
Click on Printers & Scanners
Click on Zebra printer, and select Manage
Click on Printing Preferences
Click the Front K Panel Options button and check all the settings:
Black Panel Extraction Type is set to Print all black data
Apply Black Extraction On has everything checked under it
Print Black with K Panel has the Full card option checked
Click OK on all windows to save and exit settings
Make sure the card thickness dial is set to 30mm on the printer Setup
Plug it in
Connect the printer to the computer
Go over loading and unloading supplies

Clean printers every Tues and Thurs
Do a thorough clean every 2 weeks
If you need to restart the computer, pull all cords except the power cord and restart. Plug cords back in.

Set to Flash Non-corded mode
Adjust settings: Shutter Speed 125, ISO to 100
Main Light
Sit on the seat facing the main light and hold under your chin, pointing the light sensor at the camera.
Adjust the light until the meter reads F5.67
Fill Light
With your main light on, adjust the fill light until the meter reads F8.0
Hair Light
Sit on the seat facing the background and place the meter on your forehead, pointing the light sensor directly at the hair light.
Adjust the light until you reach the proper meter reading of F5.6
TAKING PICTURES & TRAFFIC FLOW
Watch the video to the left for an efficient and effective flow of traffic when photographing subjects.
Set up the printer to your right behind the umbrella so the subject enters from your left side and exits out your right to collect their ID card
Then have subjects line up by your computer so you can communicate with the person seated as well as the next person getting their picture taken

As classes come down, highlight the row in yellow
This allows the office to monitor our progress, as well as your office/branch manager

Scan their Camera Card to bring up their student information in CapturePost
Call the student by name to make sure you have the correct card
Scan their envelope
Scan Validation1, Validation2, Validation3 if applicable to your school. This information can be found on your ID Card Summary in your job box.
Take their picture - make sure you have a good one
Hit F10 to print an ID card
Hit Ctrl+S
Slate approximately every 50 frames. This makes it easy to locate/fix any mistakes.
How to Slate

Hand-Written Cards
**If a student says they are not new but has a handwritten card, try looking them up by last name AND student ID# before creating a new file. It’s best to use the preloaded data when possible.
Always search for the student first by typing in their last name into the search field to ensure you are not duplicating data.
Hit Ctrl+N to create a new subject file
Select the correct folder for the student
Enter student’s Last Name, First Name, Student ID, Grade, and Background (possible others: sort, teacher, etc.)
Slates, Duplicates, and Two Orders
Use preloaded data and white camera card for the first order
Hand write a camera card for the duplicate order then hit Ctrl+N and select the ZNA folder for the second order
ZNA is a catch all folder for miscellaneous images. It is labeled ZNA because it is the last letter of the alphabet and NA is not available.
For slates, hit Ctrl + N and select the _slates folder for your slates
Cleaning Up Your Data
When you have down time and especially at the end of your shoot, make sure you perform these two functions to ensure you do not have red triangles, duplicate images, or your hand-entered records have all of the required information (first name, last name, grade, and student ID).
F8 Report:

What happens you add a student who already has a data record?
When a photographer creates a new record for a student already in the data, the Onsite department in the lab must correct this in a time consuming process.
The duplicate data record is unmatched from the image
The existing data record is matched to the image
The OID is moved from the duplicate to existing record
The duplicate record is then deleted from the TNJ
This process is repeated for each duplicate record
Taking an extra second to search for the student’s name/ID number you can save both the lab & yourself unnecessary labor. Duplicate records rarely include all the required information; student ID, grades, teachers, emails, etc.
When a hand-entered record is created unnecessarily, it means the work is being done 3 times. Once by the data team in creating the TNJ, once by the photographer, and then once by Onsite to get it cleaned up.

Know how to handle typical scenarios:
2 students with payment in one envelope: write a note on each envelope that references where the payment is
1 student with 2 envelopes: take one picture that attaches to the original file and attach ONE envelope to it; then create a new file with the student's information and take a 2nd picture to attach the second envelope to
Be familiar with products: reference the envelope top before the day start
Change: If a parent needs change, please direct them to order online. The parent will have up to 4 days after picture day to order without incurring a late fee.

Know the late order procedure:
When online ordering closes, the parent will need to wait for the job to process in order to receive their Access Key. Once they have this they can go online to place a late order.
How to handle late envelopes? Politely inform the school to direct parents to order online and leave a QR code sticker.
Refer customers to Customer Support - Go to mydorian.com and select chat at the bottom or search for the school, click Help on the date the student was photographed, select your circumstance and fill out the form.
RETAKE DAY PROCEDURE
Our policy is to always take a picture, even if someone is unsure whether or not they need a retake. It is better to have it and not need it.
In most cases, retake days are slower days in the field. Unfortunately, many of the problems that cause the most confusion in production also occur these days. These instructions help you understand our system.
When you get to the school, confirm the schedule with the office. Verify that the location and times have been mapped out for the day and that they will cause the least amount of congestion possible.
On retake days, ONLY use the retake day TNJ generated by the lab. Using the original day TNJ will not produce any packages in our system.
Extreme Caution
If you are looking images up by the last name, make sure you select the correct student. Many times there are multiple students with the same name. Please verify more than the name match - verify both the student’s teacher or ID# and grade as well. You do not want to overwrite another student’s original picture for the yearbook. Please try to look up secondary students by ID # by scanning their barcode. To do this you will need to change the lookup field to student ID instead of Name.
Attention to Detail
Please make sure we get a GREAT picture on retake day. This is our opportunity to make things right with the customer. Make sure we check their clothing, hair, natural smile, background color, and posture, and ensure no glass glare!
Never introduce incomplete envelopes and OIDs into the retake TNJ for something the customer is saying will happen in the future. Order envelopes are only for confirmed paid orders. No envelope should be included with the job if you do not have a positive OID match with an actual order.
The Flow
Conversation with the office before you get started with photos, if there isn't a clear schedule in the calendar:
We would like to call students down by the type of photography we are doing for them. Can you please plan to make these 3 announcements, giving us some space between groups?
First – any student that hasn’t had a Dorian picture this year
Second – students doing an actual retake, please bring the original picture package with you
Third – anyone purchasing pictures for the first time or those with a question for the photographer
Have you been making ID cards for new students? (This is for secondary schools only)
If “yes” that’s great! We’ll set up our printer for staff but won’t print a student card without a direct request from the office.
If "no," we can make ID cards, but we don't have ASB data. Can we please have someone come down and help check students – the bookkeeper will need to print an ASB list for this.
Confirm start time. Encourage staff to come down once we’re ready if they haven't had a picture taken this year.
When we are done with the scheduled announcements, can we please make one last call to make sure we get everyone? If we can’t do an announcement last call, confirm the end time in the calendar with the front office.
For Students who have already been photographed and want a retake
Take the picture package from the student. 95% will return it that day; however, if a student forgets their picture package, let them know they can turn it into the school’s office the next day.
Please cut out the safety card, including the white portion that surrounds it, from the student’s package. Hole-punch the safety card and place it on the zip tie, just as you would a camera card.
NOTE: Students who order only a la carte photographs will not receive a safety card and, the photographer must fill out a camera card for the individual. Simply look them up by the last name in the TNJ and verify not only name but also teacher, grade, etc. Make sure the record also has the original day image reference and OID.
Scan the student ID barcode to pull up the student’s previous record. Make sure they have package information in the ORD field. (Sometimes students have more than one record and you must select the one with the package information in order to ensure the package gets produced.
Please note that if the order was placed in the days prior to picture day, it may not appear in the TNJ
If there is no package information, but the student has photos to return, note this on the job sheet.
After verifying the info in the TNJ, take the student’s picture.
For students who are getting their first picture taken:
This process is the same as original day.
Use a pre-filled-out camera card or fill out a camera card for the student
Scan or look up the student’s camera card in the TNJ
If the student is not in the system, hit Ctrl+N to create a new record. Fill in all of the required fields.
Take the student’s picture. Make it a great one. They will NOT get the opportunity for a retake on another day.
Wants retake, but adding retouching/personalization/package upgrade:
Follow the retake day procedure.
DO NOT scan in the new envelope OID when they are paying for retouching or personalization. Simply write a note on the job sheet with the student’s name and the upgrade.
Wanting Original Day Pictures but paying on retake day:
Some customers will try to give you an envelope and ask to get the original day picture for the order. DO NOT scan the OID and match it to their data. It will not generate a picture package for them from rtk day.
Look up the student’s record to make sure they had a picture taken. If they have one then...
Label it with a Prior Day Order sticker.
Do not bundle it with the other envelopes, but do send it with the job shipment.
Send to Mr. Green with the job. They will handle it from there.
If there is not a record of a picture from original day...
Take their picture
Follow the process as described above with the addition of a note on the job sheet
Example: “Johnny Smith wants to order ORG pictures, the envelope is marked with prior day order sticker. I could not find a record from the original day so I took his picture again. If it truly is not present then process picture from retake day.”
Note: If the student has not taken a photo the Image_ID field will be blank.
Student never received ORG pictures, so they were sent to retakes:
Some customers will order late and have not yet received their package by retake day or there is the possibility the order got missed.
Look up the student’s record to make sure they had a picture taken.
Check for an ORD
If there is an ORD
Write the student’s name, grade, teacher (elementary only) and get a parent/guardian phone number from the office and place this on the job sheet.
Customer support will research and contact the parent.
Alternatively, direct the student to Customer Support via QR Code or mydorian.com/support, search their school, and click HELP
If there is no ORD
They may have ordered late
Take their picture as a new record - (Ctrl+N) and make their grade ZNA
Write the student’s name, grade, teacher (elementary only), and get a parent/guardian phone number from the office on our Customer Support form.
Send this information to your branch office manager to forward to customer support. This package will not be delivered with retake day packages as this is a longer process.

END OF DAY
Before Leaving the School
Have the office do a last call. Keep one unit set up for 10-15 minutes after the announcement is made. Before closing down, remember to do your End Slate:
Ctrl + N and select your Slate folder
Label it like the beginning slate
Take a picture of the slate card
**If someone comes down after both kits are torn down, offer to set up again but also inform them that it can be done on Retake Day.

Clean up Red Flags by figuring out why 2+ images share the same data file and fix it accordingly:
If it's a duplicate of the same student, hit Ctrl + N and put the image into Slate folder. Fill out Dup in the last name field
If it's two different students, go through your camera cards and figure out who is who.
Compile a list of students with missing ID #’s and ask the school office for the correct information. Once this information has been added to the student's file, remember to hit save.

Keep envelopes neat! They are fed through a cutter that's set to cut each envelope in the same spot. If you don't keep them organized, someone else has to fix it.

Transferring Series to USB & Running Check Images
Save to the USB Drive
After saving your job and closing the TNJ, copy and paste your entire job folder from your desktop onto the thumb drive outside of the starting data folder.
When it is done copying, open the TNJ job files from the thumb drive and run the Check Images Report on each 1000 series to ensure that all the files have transferred successfully.
Open the TNJ from the USB
Go to Report
Select Check Images
Hit Safely Remove Hardware to eject the thumb drive before unplugging from the laptop.
Drag folder to the Completed Jobs folder on the desktop.
Fill out the End of Day Report found in your Calendar Event.

Propose changes for next time
Tear down equipment and make sure it's returned to its proper place.

Completely fill out with the correct start frames, finish frames, photographer names, cameras/USB #, and envelope counts.
If anything out of the ordinary happened (photographically), a note needs to be written in the Notes field. Alert your manager to any specifics you note.

Save a copy of the shoot on the studio server.
Place bundled envelopes in bag with copy of the Job Sheet and put into your studio's green bucket.
In another bag, place the original Job Sheet, USB drive and camera cards and put into your studio's job bucket.
For 2-day shoots:
Ship the envelopes or "Green" with a copy of the job sheet indicating it is Day 1 of 2 in the notes section.
Keep the Job files until the end of the final shoot day and follow normal turn-in procedures.

REMOTE SHIPPING
The ability to ship jobs without going back to the studio is a privilege. It is imperative that you follow all steps to ensure that jobs do not get lost or delayed at check-in.
You must first be subscribed to the UPS tracking group:
From your email, navigate to app launcher (9 dots next to Dorian)
Click Groups
Find UPS Tracking and click Join Group
Change your notification settings to Don’t send email updates
Verify all paperwork is complete
Verify TNJ is accurate
